These Terms and Conditions (“Terms”) apply when you browse or use this website, create an account, register for or attend an event, request a ticket, submit content or a form, participate as a speaker, exhibitor, sponsor, association, media partner, award entrant or supplier, or use a related portal, scanner, download or digital service. “You” means the person using the service and, where applicable, the organisation on whose behalf that person acts.
If a separate signed agreement, booking form, exhibitor manual, sponsorship agreement, award rules or specific offer terms apply, those specific terms form part of the agreement and take priority to the extent of a direct conflict.
The website and event services are operated by Ingenious Media Ltd., trading as Ingenious Media Live.

By using a service or submitting a registration or order, you agree to these Terms. If you act for an organisation, you confirm that you are authorised to bind it. If you do not agree, do not submit the transaction or use restricted services. We may ask you to expressly accept updated or transaction-specific terms.
You must be legally capable of entering the relevant agreement. Unless a specific event states otherwise, attendees must be at least 18 years old. A permitted minor must be registered with appropriate parent, guardian or organisational authority and may need to remain with an authorised adult.
The applicable event page, booking journey or written offer will identify the principal characteristics of the service, date and venue, price and taxes where charged, payment arrangements, and material cancellation information. Please review that information before submitting. Apparent typographical, pricing or availability errors may be corrected before acceptance, without limiting mandatory consumer rights.
A submitted form is an offer or request and does not guarantee admission, participation, a speaking position, exhibition space or an award nomination. A contract is formed only when we issue an acceptance, booking confirmation or ticket, or begin providing the expressly requested service. Automated acknowledgements may confirm receipt only. We may reject duplicate, incomplete, ineligible, fraudulent, abusive or capacity-exceeding requests.
You must provide accurate, current information, keep login credentials and ticket codes secure, and notify us promptly of suspected unauthorised use. Accounts and permissions are personal unless we approve organisational sharing. You are responsible for activity carried out using your credentials where the activity results from your failure to protect them.
A ticket, badge or QR code is a revocable licence to attend the specified event, subject to these Terms and venue rules. It may be checked against registration information and must not be copied, altered, resold or transferred except through an authorised process. Admission remains subject to identity, eligibility, capacity, safety and security checks. Lost or compromised credentials should be reported promptly.
Where a charge applies, the price and mandatory charges will be shown before commitment. Unless stated otherwise, business prices may be exclusive of VAT and consumer prices include applicable taxes. Payment must be made through an approved method by the stated deadline. We may suspend performance or release reserved capacity for overdue, reversed or failed payment, subject to applicable law and any agreed cure period.
Unless the booking information states otherwise, event registrations and paid event products are non-transferable and non-refundable except where required by law or expressly agreed by us in writing.
Some services connected with leisure activities on a specific date or during a specific period may not carry the ordinary statutory cooling-off right. Any applicable statutory right, exception and cancellation method will be explained in the relevant booking information. Nothing here removes a refund or remedy required by consumer law.
Programmes, speakers, exhibitors, content, timings, stages, format and venue information may change. We may make reasonable substitutions or operational changes. If an event is postponed, moved, materially changed or cancelled, we will provide the remedy required by law and any additional remedy stated in the applicable booking terms. Unless mandatory law provides otherwise, we are not responsible for separate travel, accommodation, visa, staffing or other consequential costs.
We are not responsible for delay or failure caused by circumstances reasonably beyond our control, including severe weather, venue unavailability, transport interruption, industrial action, public-health measures, utility or network failure, civil emergency, security threat, governmental action or supplier failure. We will take reasonable steps to minimise disruption and communicate material changes.
You must follow lawful staff instructions, venue policies, accreditation rules and health and safety requirements, and behave professionally and respectfully. Harassment, discrimination, violence, unsafe conduct, disruption, unauthorised sales or solicitation, misuse of badges, illegal activity and interference with systems are prohibited. We or the venue may refuse or remove a person where reasonably necessary for safety, security, order, legal compliance or protection of others. A refund is not normally due where removal results from that person’s breach.
We aim to provide an inclusive event. Tell us about accessibility or special requirements sufficiently in advance through the designated channel. We will consider reasonable measures, but cannot guarantee every request where notice, venue capability, safety or proportionality prevents it. Emergency or sensitive information should be limited to what is necessary.
A participant submitting a biography, photograph, presentation, proposal or other material confirms that it is accurate, lawful and does not infringe another person’s rights. You retain ownership of your material but grant us a non-exclusive, worldwide, royalty-free licence for the period reasonably necessary to review, edit for format, promote, record, deliver and archive the relevant event and related factual reporting. Confidential material must not be submitted unless separately agreed in writing.
Commercial participants must also comply with their booking agreement, technical requirements, manuals, deadlines, insurance obligations, advertising rules and applicable laws. Allocations, positions and benefits are subject to the specific agreement and reasonable operational change. No participant may imply endorsement beyond the relationship expressly agreed. Business-to-business remedies, cancellation charges and liability allocations may be governed by the separate commercial agreement.
Awards may have separate eligibility, judging and submission rules. Entries must be truthful, authorised and capable of substantiation. Judges may request evidence, combine or withhold categories, disqualify ineligible entries and make final decisions subject to correction of manifest error or legal requirement. Entry does not guarantee shortlisting, publicity or an award.
Professional photography, filming and audio recording may occur at an event. General crowd and atmosphere material may be used for reporting and legitimate event promotion where lawful. Where consent or a separate release is required, it will be obtained. Tell event staff about a specific concern and we will consider reasonable measures. You must not make recordings that infringe rights, breach confidentiality or disrupt the event.
If you voluntarily present a badge or code to an exhibitor, sponsor or scanner, the contact information associated with it may be shared with that recipient for follow-up. That organisation is responsible for its subsequent use. Do not scan, harvest, export or use attendee information without authority and an appropriate lawful basis.
You may use the website for lawful personal or internal business purposes connected with the event. You must not attempt unauthorised access, probe security, introduce malicious code, scrape at unreasonable scale, circumvent restrictions, impersonate another person, interfere with availability, or reuse data or content unlawfully. Automated access requires prior written permission unless protected by law.
The website, event brands, graphics, software, compilations and organiser-created materials are owned by or licensed to us and are protected by intellectual-property laws. No ownership transfers to you. You may view and make limited copies for the purpose for which content was supplied, but may not commercially reproduce, adapt, distribute or create derivative uses without permission. Third-party marks remain their owners’ property.
The website may link to or embed registration, payment, mapping, video, social, accommodation or other third-party services. They may operate under their own terms and privacy notices. A link does not guarantee or endorse availability, accuracy or performance. Transactions made directly with a third party are between you and that party unless we expressly state otherwise.
We take reasonable care with published information but programmes and website content may become outdated or contain errors. Content is general information and is not legal, financial, medical, engineering, safety or other professional advice. You should obtain appropriate advice before relying on it. We do not promise uninterrupted, error-free or universally compatible access.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of mandatory consumer rights, or any liability that cannot legally be excluded or limited.
Subject to that protection, we are responsible only for loss that is a foreseeable result of our breach or failure to use reasonable care. We are not responsible for loss caused by your breach, inaccurate information, an independent third party, or events outside reasonable control. For business users, and except where a separate written agreement provides otherwise, we exclude liability for loss of profit, revenue, business, opportunity, goodwill, anticipated savings and indirect or consequential loss to the fullest extent permitted by law.
You are responsible for reasonably foreseeable loss, damage or claims caused by your unlawful conduct, infringement, unauthorised content or material breach. Any indemnity applicable to a commercial exhibitor, sponsor, supplier or partner is governed by its separate written agreement and will not reduce protections that apply to consumers.
We may restrict or terminate access where reasonably necessary because of breach, security risk, legal obligation, non-payment, misuse or discontinuation of a service. Where appropriate, we will give notice and an opportunity to remedy. Clauses intended by their nature to survive—such as payment, intellectual property, liability, evidence and dispute provisions—continue after termination.
Personal data is handled under our Privacy & Cookie Policy and any form-specific notice. Service communications may be sent electronically to the contact details supplied. Marketing choices can be changed using the provided opt-out method.
We may update these Terms for future use to reflect legal, operational or service changes. The effective date will be displayed above. Changes will not retrospectively remove accrued rights. Material changes affecting an existing booking will be communicated where required, and the version accepted or otherwise applicable when the contract was formed will normally govern that booking.
These Terms and non-contractual disputes are governed by the laws of Ireland. Subject to mandatory rules that protect consumers, the parties submit to the courts of Ireland. If you are a consumer resident in another jurisdiction, you retain any mandatory protections and rights to bring proceedings in a court that applicable law gives you. Before issuing proceedings, please contact us so that we can try to resolve the matter.
Depending on applicable law and the circumstances, you may request access, correction, erasure, restriction, portability or objection, and may withdraw consent for future processing. Some information may be retained where a legal obligation, legal claim, security need or another lawful exception applies.
You may contact the Irish Data Protection Commission at dataprotection.ie, or another competent supervisory authority.
We keep personal data only for as long as necessary for the relevant event, service, legal, accounting, security and dispute-handling purposes. Retention periods are reviewed according to the type of record and the reason it is held.
Providers must be reviewed before activation and appropriate processor terms and transfer safeguards should be maintained. The active configuration—not this generic list—determines which services actually receive data.
This document defines the control framework expected for the production RapidReg service. It is an operational policy and evidence checklist; it does not by itself represent an independent certification.
The production boundary includes the deployed WordPress application, RapidReg snippets and database, hosting and network controls, media and backup storage, identity and administrator access, email delivery, payment redirection, configured CRM/SharePoint/Google integrations, logging and monitoring. Local development sites, staff endpoints and third-party services are tracked as connected or supporting systems with documented trust boundaries and data flows.
Dependencies, plugins, themes and custom code are scanned and reviewed. Target remediation service levels are: critical actively exploited issues immediately or within 24 hours; other critical issues within 72 hours; high within 14 days; medium within 30 days; low within 90 days, unless a documented risk decision and compensating control is approved. Emergency changes receive retrospective review.
The incident process covers detection, triage, containment, evidence preservation, eradication, recovery, communications, breach assessment and lessons learned. Named responders, escalation contacts and notification decision owners must be maintained. Tabletop exercises should be performed at least annually and after major architectural change.
Vendors that store, transmit or access personal data are risk-assessed before use and periodically thereafter. Reviews cover purpose, data categories, location, security measures, contractual terms, subprocessors, breach notification, deletion, portability and exit arrangements.
Evidence should include the current boundary/data-flow record, policy approvals, onboarding/offboarding tickets, MFA and access-review reports, change records, scan reports and patch exceptions, incident exercises, vendor reviews, restoration tests, monitoring alerts and risk assessments. Evidence retention and access must be defined separately from attendee-data retention.
We aim to make event information, registration, tickets and portal tasks usable with keyboards, screen readers, zoom and common assistive technologies. We work toward WCAG 2.2 AA where practicable.
If a form, document or portal task is difficult to use, email admin@mail.ingeniousmedialive.com with the page, device and assistance needed. We will provide a reasonable alternative where possible.
Third-party embeds, older uploaded documents and externally hosted services may not always meet the same standard. These should be reviewed and replaced or supplemented as issues are identified.
